Services/Scope of work

Project Team

• 2 x Team members, including project manager and project assist for lead up and onsite

On ground support

• 2 full days of pre-event site visits in LA for vendor meetings and walk throughs
• 5 full days of onsite support over event week

Additional onsite days and team members will require a surcharge to the fee

*Staff expenses including flights, hotels, sustenance, ground transportation are to be covered

Contracts, negotiations and payments

• Manage the hotel and venue negotiations, contracting and payments
• Engage, negotiate, contract and manage all required suppliers to include but not limited production, security, video, printing glam teams
• Engage, contract and manage all food and beverage/catering

Logistics

• Budgeting and continual financial updates
• Payments and contracts
• Event staging book / Run of show creation
• Full itinerary creation per guest (to work with Havas on design)

Guest/VIP/Artist Management

• Liaisons and points of contacts for information, logistics and support in event lead up(as required by Havas)

Travel

• Create bespoke site for all travel assistance to manage flights (billed back to client) hotel rooms, ground transportation as well as any additional surrounding support for the guests
• Rooming list and special request support, ensuring appropriate allocations of rooms
• Manage all arrivals to ensure seamless travel process cost effective solutions

Tickets

• Procure, contract and deliver required level of Grammy’s tickets (subject to availability and final price point)

Flat fee for the above scope of work and onsite support (as detailed)- $25,000
